Payments are currently processed through Stripe or Paypal. We do not ordinarily receive or store your complete payment-card details. Stripe  or Paypal process those details securely under its own privacy terms.

Parenting-support and family information

If you enquire about or receive parenting support, you may choose to provide information about:

  • your family circumstances;
  • your parenting experiences and concerns;
  • your goals;
  • your child’s age or developmental stage;
  • behaviour, sleep, routines or family relationships;
  • relevant educational or support arrangements; and
  • strategies that have previously been tried.

Please provide only information that is relevant to the support you are requesting.

Sensitive or special-category information

Some parenting enquiries may include information about health, disability, neurodivergence, racial or ethnic background, religious beliefs or other sensitive matters concerning you or a family member.

We do not ask you to provide sensitive information unless it is genuinely relevant. Where this information is needed, we will only process it where we have:

  • a lawful basis under the UK GDPR; and
  • an appropriate condition for processing special-category information.

This will usually be your explicit consent. In limited circumstances, another lawful condition may apply, such as where processing is necessary to protect someone’s vital interests, comply with the law or address a serious safeguarding concern.

You may withdraw your consent at any time. This will not affect information that was lawfully processed before your consent was withdrawn.

This may include:

  • your name and email address;
  • the date and method by which you subscribed;

This information may be collected through GoDaddy, which hosts our website and provides website, newsletter and analytics services.

4. How We Collect Information

We collect personal information:

  • directly from you when you complete a form, make a booking, subscribe, make a purchase or communicate with us;
  • during the delivery of a coaching session, course, consultation or workshop;
  • through GoDaddy, which hosts our website and provides website forms, newsletter, analytics and related services;
  • through Calendly or Acuity Scheduling when you arrange an appointment;
  • through Stripe or Paypal when you make a payment;
  • through cookies and similar website technologies; and
  • from publicly available or professional sources where this is lawful and relevant.

5. How and Why We Use Your Information

We only use personal information where we have a valid legal reason to do so.

We use your information to:

  • respond to your questions;
  • discuss the support you are considering;

We use your information to:

  • schedule appointments;
  • provide parenting coaching, workshops, courses and resources;
  • understand your goals and circumstances;

  • maintain accounting and tax records;
  • manage failed payments; and
  • prevent or investigate fraud.

Our lawful bases are the performance of our contract, compliance with legal obligations and our legitimate interest in protecting our business.

Sending newsletters and marketing communications

We may send newsletters, parenting insights, service information and promotional communications where you have consented to receive them or where another lawful marketing permission applies.

Our newsletter communications are currently managed through GoDaddy.

You may unsubscribe at any time by selecting the unsubscribe link in an email or contacting us at admin@happynestparentingservices.com.

Withdrawing from marketing will not prevent us from sending essential communications about an existing booking or purchase.

Improving our website and services

We may use website and feedback information to:

  • understand how people use our website;
  • identify technical problems;
  • improve accessibility and user experience;
  • develop our services and resources; and
  • assess the effectiveness of our communications.

Website analytics are currently provided through GoDaddy.

We use consent where required for analytics or other non-essential cookies. Associated personal-information processing may also be based on our legitimate interests where this is lawful and does not override your rights.

Protecting people and managing safeguarding concerns

Where appropriate, we may use or share relevant information to:

  • protect a child or adult from a serious risk of harm;
  • respond to a safeguarding concern;
  • contact an appropriate authority or professional;
  • establish, exercise or defend legal claims; or
  • comply with a legal or regulatory obligation.

We will only disclose information that we reasonably believe is necessary and lawful in the circumstances.

Handling complaints and legal matters

We may use your information to:

  • investigate and respond to a complaint;
  • resolve a dispute;
  • obtain professional advice;
  • enforce our agreements; or
  • establish, exercise or defend legal rights.

Our lawful bases are compliance with legal obligations and our legitimate interest in managing complaints and protecting our legal position.

6. Information About Children

Our website, newsletters, bookings and purchases are intended for adults aged 18 or over.

We do not knowingly invite children to submit their information directly through our website.

A parent, carer or professional may provide limited information about a child where this is necessary to seek or receive parenting support.

We ask that you:

  • provide only information that is relevant;
  • avoid including unnecessary identifying details;
  • do not share another person’s confidential information without a proper reason; and
  • tell us if there are restrictions concerning who may receive information about the child.

We do not use information about children for direct marketing.

7. Cookies and Similar Technologies

Our website uses cookies and similar technologies. These may include the following.

Strictly necessary cookies

These enable essential website functions such as security, navigation, payments, bookings and remembering privacy choices.

Preference or functionality cookies

These remember selections you make and may improve the functionality of the website.

Analytics cookies

These help us understand how visitors use our website so that we can assess and improve its performance.

Our website analytics and associated cookies are currently provided through GoDaddy.

Advertising or marketing cookies

These may be used to measure campaigns or show relevant advertising. We will only use these where they are enabled on the website and legally permitted.

When consent is required, non-essential cookies will not be placed until you have made a choice through our cookie banner or settings tool.

You can change or withdraw your cookie choices through the website’s cookie settings. You may also control cookies through your browser, although disabling some cookies could affect website functionality.

Details of the individual cookies currently used, their providers and their duration should be displayed in our website cookie settings or separate Cookie Notice.

8. Who We Share Information With

We may share personal information with carefully selected organisations that help us operate our business, including:

  • GoDaddy, for website hosting, website forms, newsletters, analytics, website administration and related services;
  • Calendly, or  Acuity Scheduling for appointment scheduling;
  • Stripe, for payment processing;
  • secure email, cloud-storage and information-technology providers;
  • accountants, insurers, legal advisers and other professional advisers;
  • contractors who assist in delivering services and are bound by confidentiality obligations;
  • government, regulatory, law-enforcement or tax authorities where required;
  • safeguarding services or relevant professionals where necessary to address a serious concern; and
  • a purchaser or successor if our business is sold or reorganised.

We do not sell your personal information.

Some providers, including GoDaddy, Calendly, Acuity Scheduling and Stripe, may also act as independent data controllers for particular information they process. Their own privacy policies explain how they use that information.

9. International Transfers

Some of our service providers may process personal information outside the United Kingdom.

Where a restricted international transfer takes place, we will take reasonable steps to ensure that an appropriate legal safeguard is used.

Depending on the destination and provider, this may include:

  • UK adequacy regulations;
  • the UK International Data Transfer Agreement;
  • the UK Addendum to approved contractual clauses; or
  • another safeguard permitted by UK data-protection law.

You may contact us for further information about the safeguards relevant to your personal information.

10. How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, safeguarding and complaint-handling requirements.

Our usual retention periods are:

  • Unsuccessful or general enquiries: normally up to 12 months after the last meaningful contact.
  • Booking, purchase and financial records: normally up to six years after the end of the relevant financial year or transaction.
  • Client and service-administration records: normally up to six years after the service or client relationship ends where they may be needed for contractual, insurance, complaint or legal purposes.
  • Sensitive session or family information: kept only for as long as necessary for delivering support and managing legitimate follow-up, legal or safeguarding matters.
  • Newsletter records: until you unsubscribe or we discontinue the mailing list.
  • Complaints: normally up to six years after the complaint is closed.
  • Cookie and analytics information: according to the period displayed in our cookie settings or GoDaddy’s relevant retention controls.

We may retain minimal information on a suppression list so that we can respect a request not to receive further marketing.

Information may remain temporarily in secure backup systems until the relevant backup cycle is completed.

11. How We Protect Your Information

We use appropriate technical and organisational measures designed to protect personal information.

These may include:

  • password-protected accounts;
  • access controls;
  • secure payment processing;
  • multi-factor authentication where available;
  • reputable website and cloud providers;
  • confidentiality arrangements;
  • software and security updates; and
  • secure deletion or anonymisation.

No internet transmission or storage system can be guaranteed to be completely secure.

Please avoid sending highly sensitive information through ordinary email unless we have agreed an appropriate method.

12. Your Data-Protection Rights

Depending on the circumstances, you may have the right to:

  • request access to the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your information;
  • ask us to restrict how your information is used;
  • object to processing based on legitimate interests;
  • object to direct marketing at any time;
  • receive certain information in a portable format;
  • withdraw consent;
  • challenge certain automated decisions; and
  • complain about how your information has been handled.

These rights are not absolute, and exemptions may apply.

We will normally respond to a valid rights request without undue delay and within one month. We may need to ask for information to confirm your identity.

13. Data-Protection Complaints

You may make a data-protection complaint by emailing:

admin@happynestparentingservices.com

Please use the subject line “Data Protection Complaint” and explain:

  • what happened;
  • which information is involved;
  • what you would like us to investigate; and
  • how you would like us to contact you.

We will:

  • provide a clear way for you to raise your complaint;
  • acknowledge the complaint within 30 days;
  • make appropriate enquiries;
  • keep you informed where a response is taking longer; and
  • communicate the outcome without undue delay.

We hope that you will contact us first so that we have an opportunity to resolve your concern.

You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection.

14. Automated Decision-Making

We do not currently use personal information to make decisions about you that are based solely on automated processing and that produce legal or similarly significant effects.

15. Third-Party Websites

Our website may contain links to external websites, social-media platforms or third-party services.

We are not responsible for the privacy practices or content of those services. You should review their privacy information before providing personal information.

16. Changes to This Policy

We may update this Privacy Policy to reflect changes to our services, suppliers, website or legal obligations.

The latest version will be published on our website with the revised “last updated” date.

Where a change is particularly important, we may also notify affected clients or subscribers directly.

Return and Refund Policy

RETURNS, CANCELLATIONS AND REFUNDS POLICY

Last updated: 2 August 2026

1. About This Policy

This policy explains the arrangements for returns, cancellations, rescheduling and refunds for products and services purchased from Happy Nest Parenting Services.

It applies to:

  • physical products;
  • digital downloads and online resources;
  • one-to-one coaching and parenting-support sessions;
  • consultations and introductory calls;
  • workshops, courses and group programmes; and
  • any other paid service purchased through our website or directly from us.

Nothing in this policy limits or removes your statutory consumer rights.

2. Our Details

Legal name: Happy Nest Parenting Services
Website: happynestparentingservices.com
Email: admin@happynestparentingservices.com
Business contact address: TBC

To request a return, cancellation or refund, please contact us at:

admin@happynestparentingservices.com

Please include your name, order or booking reference, purchase date and the reason for your request.

3. Physical Products: Change-of-Mind Returns

Where you purchase a physical product online, you will normally have the right to cancel your order without giving a reason.

You must tell us that you wish to cancel within 14 days of receiving the product. You will then have a further 14 days in which to return it.

To request a return, email admin@happynestparentingservices.com before sending the product back. We will provide the appropriate return instructions and return address.

Please do not send a return to an address shown on an invoice or other communication unless we have confirmed that it is the correct return address.

4. Condition of Returned Products

Unless the product is faulty, damaged or incorrect, returned products should be:

  • unused;
  • clean;
  • complete;
  • in their original packaging where reasonably possible;
  • accompanied by any accessories, instructions or other items supplied; and
  • in a condition suitable for resale.

You may inspect a product as you would reasonably be permitted to do in a shop.

We may reduce the refund where a product has been handled beyond what was reasonably necessary to establish its nature, characteristics and function, and that handling has reduced its value.

5. Return Postage

Where you are returning a product because you have changed your mind, you will normally be responsible for the cost of returning it.

We recommend using a tracked postal service and keeping proof of postage. We cannot be responsible for a returned item until it has been received by us.

Where the product is faulty, damaged on arrival or not the product you ordered, Happy Nest Parenting Services will cover or reimburse reasonable return-postage costs.

We will not reimburse premium, enhanced or unusually expensive return-delivery charges unless these have been agreed with us in advance.

6. Damaged, Faulty or Incorrect Products

Please contact us as soon as possible if a product:

  • arrives damaged;
  • is faulty;
  • is not as described;
  • is not fit for its intended purpose;
  • is missing an essential part; or
  • is different from the product you ordered.

Please provide:

  • your name;
  • your order number;
  • a description of the problem; and
  • photographs of the product and packaging where appropriate.

Where you exercise the short-term right to reject faulty physical goods, you will normally have 30 days from receiving the goods in which to request a refund. Your consumer rights may continue after that period, including rights to a repair, replacement, price reduction or refund where applicable.

Depending on the circumstances and your legal rights, we may offer:

  • a replacement;
  • a repair;
  • a full or partial refund; or
  • another appropriate solution.

You will not be charged return postage where we have supplied a faulty, damaged or incorrect product.

7. Products That Cannot Normally Be Returned

Unless they are faulty, damaged or not as described, a change-of-mind return may not be available for:

  • personalised or custom-made products;
  • sealed products that are not suitable for return for health or hygiene reasons once unsealed;
  • perishable products;
  • digital products supplied electronically; or
  • any other product that is legally exempt from the usual cancellation rights.

We will make any relevant restriction clear before you purchase.

8. Refunds for Physical Products

Where a refund is due following a valid change-of-mind cancellation, we will refund:

  • the price paid for the returned product; and
  • the cost of our least expensive standard delivery option, where an original delivery charge was paid.

We are not required to refund the additional cost of premium, express or enhanced delivery selected by you.

We may withhold the refund until:

  • we have received the returned product; or
  • you provide evidence that it has been returned,

whichever occurs first.

Refunds will normally be issued within 14 days of receiving the returned product or satisfactory proof of return.

The refund will normally be made to the original payment method. Your bank or payment provider may require additional time to display the refund in your account.

9. Digital Products and Downloads

Digital products may include:

  • downloadable workbooks;
  • scripts packs;
  • guides;
  • templates;
  • audio or video resources;
  • recordings;
  • online course materials; and
  • other electronically supplied content.

You will normally have a 14-day cancellation period for digital content purchased online. However, your cancellation right may end once downloading, streaming or access begins where, before supply:

  • you expressly agreed that the digital content could be supplied immediately; and
  • you acknowledged that you would lose your right to cancel once supply began.

Where these requirements have been met and you have accessed or downloaded the digital content, we do not normally provide a refund simply because you have changed your mind.

This does not affect your rights where the digital product is:

  • faulty;
  • corrupted;
  • inaccessible because of a problem for which we are responsible;
  • materially different from its description; or
  • not supplied with reasonable care and skill.

Please contact us promptly if you experience a technical problem. We will first take reasonable steps to repair the issue, restore access, provide a replacement file or offer another appropriate solution.

Where the issue cannot be resolved, you may be entitled to a price reduction or refund.

10. One-to-One Sessions and Consultations

Your statutory cancellation period

Where you book a service online, by telephone or through another distance method, you will normally have 14 days from the date the contract is made in which to cancel.

Where you ask us to begin providing the service during the 14-day cancellation period and later cancel, we may charge a proportionate amount for the service already provided.

Your statutory cancellation right may end once the service has been fully performed where you:

  • expressly requested that the service begin during the cancellation period; and
  • acknowledged that you would lose your cancellation right once the service was completed.

Our appointment cancellation policy

In addition to your statutory rights, the following booking conditions apply to one-to-one appointments.

At least 48 hours’ notice

You may cancel or request to reschedule an appointment by giving at least 48 hours’ notice.

Where sufficient notice is given, we will normally offer:

  • one alternative appointment; or
  • a refund where this is required under the terms of your booking or your statutory rights.

Any rescheduled appointment will be subject to availability.

Less than 48 hours’ notice

Where you provide less than 48 hours’ notice, we may retain all or part of the fee to reflect:

  • the appointment time reserved for you;
  • administrative work already completed;
  • preparation undertaken; and
  • any reasonable loss resulting from the late cancellation.

We will consider individual circumstances fairly, including whether we are able to offer the appointment to someone else.

Missed appointments

Where you do not attend an appointment and have not contacted us to cancel, the appointment will normally be treated as used and the fee will not be refunded.

Late arrival

Where you arrive late, the appointment may still need to end at the original finishing time. The full fee will normally remain payable.

11. Workshops, Courses and Group Programmes

Your statutory cancellation rights will apply to workshops, courses and programmes purchased online.

After any applicable statutory cancellation period has ended, refunds are not normally available where you:

  • change your mind;
  • are unable to attend;
  • overlook the date or time;
  • experience a scheduling conflict; or
  • do not complete the programme.

However, depending on the circumstances and the terms stated when you booked, we may offer:

  • a transfer to a future date;
  • a credit towards another service;
  • permission to transfer your place to another eligible person; or
  • a full or partial refund where we are able to fill your place.

Any transfer, credit or discretionary refund must be agreed in writing and may be subject to availability.

Where a workshop or programme includes digital resources that have already been accessed or downloaded, the value of those resources may be deducted from any discretionary refund where legally permitted.

12. Packages and Multi-Session Programmes

Where you purchase a package containing several appointments or services:

  • the statutory cancellation rights described above will apply;
  • any sessions already provided may be deducted from the refund where legally permitted;
  • any digital materials already supplied may affect the refund entitlement; and
  • refunds after the statutory cancellation period will be considered in accordance with the package terms stated when you purchased.

Where a discretionary refund is agreed, sessions already used may be charged at the standard individual-session rate rather than a discounted package rate, provided this was clearly explained before purchase.

Any remaining refund will then be calculated after deducting the value of services and resources already supplied.

13. Cancellations or Changes by Happy Nest Parenting Services

Occasionally, we may need to cancel or reschedule a session, workshop or programme because of:

  • illness;
  • an emergency;
  • insufficient enrolment;
  • technical problems;
  • venue or platform problems; or
  • circumstances beyond our reasonable control.

Where we cancel a service, we will normally offer you:

  • an alternative date;
  • a suitable replacement service; or
  • a full refund for the part of the service that has not been provided.

You will not be required to accept a materially different date, format or service.

We are not responsible for indirect expenses such as travel, accommodation, childcare or loss of earnings unless the law requires otherwise. We therefore recommend avoiding non-refundable arrangements where attendance depends on an event going ahead.

14. How to Request a Return, Cancellation or Refund

To make a request, email:

admin@happynestparentingservices.com

Please use one of the following email subject lines:

  • Return Request
  • Cancellation Request
  • Refund Request
  • Damaged or Faulty Product

Please provide:

  • your full name;
  • the email address used for the order;
  • your order or booking reference;
  • the date of purchase;
  • the product or service purchased;
  • the reason for your request;
  • photographs where an item is damaged or faulty; and
  • your preferred resolution.

We may ask for additional information reasonably required to locate the transaction, assess the request or prevent fraud.

15. How Refunds Are Processed

Where a refund is approved:

  • we will confirm the amount by email;
  • the refund will normally be made to the payment method originally used;
  • refunds will be processed without undue delay and within the applicable legal timeframe; and
  • we will notify you once the refund has been issued.

Payments made through Stripe will normally be returned through Stripe to the original payment method.

We cannot normally refund a payment to a different card, bank account or individual unless this is necessary and can be verified securely.

Although we may issue a refund promptly, the time taken for it to appear in your account is controlled by your bank, card issuer or payment provider.

16. Promotional Offers, Discount Codes and Gift Vouchers

Where a refund is due for a discounted purchase, the refund will be based on the amount you actually paid rather than the product’s full standard price.

Promotional codes and discounts have no cash value and will not be refunded separately.

Where a purchase was made wholly or partly using a valid gift voucher, the relevant amount will normally be returned as voucher credit unless the law requires a different method.

17. Chargebacks and Payment Disputes

Please contact us before initiating a chargeback or payment dispute so that we have an opportunity to investigate and resolve the matter.

This does not prevent you from contacting your bank, card provider or another appropriate body where you have a valid reason to do so.

We may provide relevant booking, delivery, access and communication records to Stripe or the relevant payment provider when responding to a payment dispute.

18. Complaints

Where you are unhappy with how a return, cancellation or refund has been handled, please email:

admin@happynestparentingservices.com

Use the subject line:

Return or Refund Complaint

Please explain what happened and the outcome you are seeking. We will review the matter fairly and respond within a reasonable period.

19. Changes to This Policy

We may update this policy to reflect changes to:

  • our products or services;
  • our booking and payment arrangements;
  • our business practices; or
  • applicable legal requirements.

The current version will be published on our website with its latest revision date.

Changes will not retrospectively reduce any rights you had when you made an existing purchase.
